Best Practices for Hiring Event Staff for Trade Shows

April 30, 2026 · Updated guide · David Babcock

Choose people for the work your booth actually needs done.

Before you hire booth staff, define the job. Greeting visitors, giving technical demos, qualifying prospects, and managing a crowd are different skills. A friendly person standing at the edge of the booth is useful only when they know what to do next.

Write the role before the job listing

Who is the target visitor? What should the staff member say first? What question identifies a fit? Who receives the handoff? Set the hours, breaks, dress expectations, and who will brief the team each morning.

Look for an engaging person

Ask candidates how they would start a conversation with someone walking quickly past the booth. Listen for curiosity, energy, and the ability to change course when the visitor is not interested. Product expertise is important for the specialists who answer detailed questions. It is not always the best use of the person attracting traffic.

Give the team a live plan

Review the main message, one approved qualifying question, and the exact handoff. Have someone responsible for notes and follow-up. If a performer or character is part of the plan, let that person attract and qualify while your team handles product details and closing.

After the first hour, observe what is happening and adjust. The best staffing plan is one people can actually use on a busy floor.
